Initial Voicemail Setup

The Initial Voicemail Setup process ensures that callers hear the correct name and greeting when reaching a voicemail box. This guide explains how to set up voicemail for the first time using either a desk phone or the Level365 Web App, including recording a name, creating or uploading a greeting, and managing greeting options. Completing these steps helps create a professional caller experience and ensures voicemail is ready to use from day one.

Set Up via Phone

  1. Press the Message button on your desk phone (sometimes labeled with an envelope icon), or dial 5001 from your Level365 extension.
  2. Enter your voicemail PIN followed by #.
  3. Record your spoken namethis is used for directory and caller ID features.
  4. Follow prompts to record your custom voicemail greeting.
  5. Once recorded, the greeting is saved and used by default (if only one exists).

 

Set Up via Level365 Web App

  1. Log in at app.level365.com.

  2. Go to MessagesSettingsGreetings, then click Manage under Voicemail Greeting.
  3. Choose one of the following options:
    • Text-to-Speech: Type your greeting and let the system generate audio (click to expand)

    • Upload: Select and upload a .wav or .mp3 file. (click to expand)

    • Record: Receive a call to record via telephone. (click to expand)
      • (folded section with instructions)
  4. The new greeting will appear in your list—if it’s the only one, it becomes the default.
  5. Click Done to finalize

Helpful Reminders

  • Record clearly and speak at a normal pace to ensure readability.
  • Use professional language and include relevant details (e.g., name, company, expected return time).
  • Label your greetings descriptively if using multiple versions (e.g., “Vacation,” “Afternoon”).
  • Only the active greeting will be heard by callers unless you change it.
