Recording and Managing Auto Attendant Greetings and Prompts

Auto Attendants in the Level365 platform use greetings and prompts to guide callers through menu options and provide important information. Greetings can be recorded directly, uploaded, or generated using Text-to-Speech (TTS). Office Managers can manage intro greetings, main auto attendant greetings, and menu prompts to ensure a professional and consistent caller experience.

This guide covers how to Record or upload or use text to speech to create an Auto Attendant Greeting, along with Adding an Intro Greeting that plays before the menu.

Permissions Required

You must have Office ManagerSite Manager, or Reseller permissions to complete the steps in this article. If you are unsure whether you have the necessary permissions, please contact Level365 Support before proceeding.

Auto Attendant Greetings

Navigate to Auto Attendants in the Office Manager view and select the Auto Attendant to edit.

The selected Auto Attendant menu will be displayed.

 

Intro Greetings

An Intro Greeting is an optional message that plays before the caller hears the Auto Attendant menu. This is commonly used for business hours, holiday messages, or special announcements.

Dial pad options are not active during the Intro Greeting. The greeting must finish playing before the caller can select menu options.

 

Adding or Editing Intro Greetings

  1. Select Manage next to Intro Greetings.
  2. Choose Add Greeting or select Edit next to an existing greeting.
  3. Choose one of the following methods:

Option 1: Text-to-Speech (TTS)

  • Enter the desired text in the Message field.
  • Choose a voice option from the dropdown menu.
  • Press the Play icon to preview the greeting.
  • Adjust as needed, then select Save to apply.

 

Option 2: Upload an Audio File

  • Upload a .wav or .mp3 file.
  • Add a brief description in the Description field.
  • Select Browse to locate the file.
  • Click Open, then Upload to apply the file.

 

Option 3: Record via Phone

  • Select Record.
  • Follow the on-screen instructions to dial in and record directly from a phone.

 

  1. Select the Time Frame when the greeting should play from the drop down menu.
  2. Save the changes, then select Done to exit.
